Formal Complaints Procedure

Comprehensive Investigation Framework

Our formal complaints procedure follows internationally recognized standards established by the Committee on Publication Ethics (COPE). We handle all concerns with the utmost seriousness, ensuring fair, thorough, and confidential investigation of potential academic misconduct, ethical violations, or scholarly errors. Our goal is to maintain the integrity of the scientific record while protecting the rights of all parties involved.

Step-by-Step Complaint Process

Step 1: Submit the Complaint

Email complaints@hndconflux.com (general complaints) or ethics@hndconflux.com (ethical concerns and suspected misconduct) with the article DOI or manuscript number, a clear description of the concern, and any supporting evidence.

Required Information:

  • Article Details: Complete citation information, DOI, publication date, specific page/section references
  • Complainant Information: Full name and credentials, institutional affiliation, contact information
  • Complaint Specifics: Detailed concern description, supporting evidence, previous communication record
Step 2: Acknowledgement of Receipt

The editorial office acknowledges every complaint within 5 business days of receipt and confirms that it is being assessed under this procedure.

Step 3: Assessment & Investigation

The Editor-in-Chief conducts the initial assessment to determine the complaint's validity, scope, and appropriate investigation pathway; not all submissions proceed to a full investigation. Accepted complaints are investigated following the guidelines and flowcharts of the Committee on Publication Ethics (COPE), with complex cases referred to an independent committee where warranted. Investigation timelines are communicated on a case-by-case basis.

Evaluation Criteria:

Accepted Concerns: Scientific validity issues, ethical misconduct allegations, data integrity concerns, authorship disputes

Rejected Submissions: Personal criticisms, anonymous complaints, inappropriate language, vexatious submissions

Step 4: Resolution & Actions

Based on investigation findings, appropriate actions are implemented according to COPE guidelines. All decisions are documented, communicated to the relevant parties, and permanently linked to the article concerned.

Possible Outcomes:

  • Case Closed
  • Correction (Corrigendum)
  • Commentary
  • Expression of Concern
  • Retraction
Step 5: Appeals

A complainant or an author may appeal a decision within 30 days of the decision by providing substantive new evidence or demonstrating a procedural error. Appeals are reviewed by editors who were not involved in the original decision, and appeal timelines are communicated on a case-by-case basis.

If your complaint concerns the Editor-in-Chief, contact the publisher directly at publication@lifeconfluxpress.com.
